What is a commercial invoice?
A commercial invoice is the bill of sale an exporter issues to an importer. It states what was sold and for how much. The importing country’s customs uses it to check the goods and declared value, and banks may use it as a payment document.
These fields are usual. Your country or deal may need more.
• Shipper or exporter, and consignee: names and addresses
• Invoice number and date
• Description of goods, HS code, quantity, unit, unit price and amount
• Currency and total
• Incoterm with named place (for example FOB Busan), and payment terms
• Port of loading, port of discharge and country of origin
• Signature, and the L/C number for letter of credit deals
What is a packing list?
A packing list shows how the shipment is packed. Instead of prices it gives cartons, weights and volume. Forwarders, carriers, customs and warehouses use it to check the cargo.
These fields are usual.
• Exporter and consignee, invoice number and date
• Description and quantity (the same as on the commercial invoice)
• Carton numbers (C/No.) and number of cartons
• Net weight (N.W.), gross weight (G.W.) and volume (CBM)
• Shipping marks, or N/M if there are none
How is a proforma invoice different?
A proforma invoice is a quote-like document sent to the buyer before shipment. Buyers may use it to confirm an order, prepare the import or arrange payment. A commercial invoice is issued for the goods actually shipped, so a proforma often can’t stand in for it.
Worked example
ABC Co., Ltd. in Seoul sells cosmetics to XYZ Trading Inc. in Los Angeles, FOB Busan, in US dollars. Press Fill with an example above to load the same values.
• Cosmetic Serum 50ml: 1,000 PCS × USD 5.00 = USD 5,000.00. 10 cartons, 8 kg net and 9.2 kg gross per carton, 40 × 30 × 25 cm
• Face Cream 100ml: 500 PCS × USD 8.00 = USD 4,000.00. 5 cartons, 11 kg net and 12.5 kg gross per carton, 45 × 35 × 30 cm
The commercial invoice totals USD 9,000.00, written out as SAY: US DOLLARS NINE THOUSAND ONLY.
The packing list shows C/No. 1-10 and 11-15, 15 cartons in all, 135.00 kg net, 154.50 kg gross and 0.536 CBM. The volume is 0.300 CBM for the first item (0.40 × 0.30 × 0.25 × 10) and 0.236 CBM for the second (0.45 × 0.35 × 0.30 × 5).
Each amount is quantity × unit price, rounded once to the currency’s decimals. The total is the sum of the printed amounts, so it adds up by hand. Volume is carton size (cm) converted to CBM per carton, times the number of cartons, rounded to 3 decimals. Weight is weight per carton × cartons. The wording on the documents is always English, whatever language this page is in.
- Is it really free? Do I need to sign up? It’s free, with no sign-up and no credits, however many documents you make.
- Where does what I type go? It’s only used inside this browser, and the browser builds the files itself. Nothing is sent to a server, stored or put in the page address, so a refresh clears the form.
- Can I clear customs with these documents as they are? That’s not guaranteed. This tool fills in a template. It is not a form approved by any customs office or bank. Required fields differ by country, product and deal, so check with your buyer, forwarder and customs broker before sending. For a letter of credit, also check that the wording matches the L/C exactly.
- Can the PDF contain Korean or other non-Latin text? No. The PDF uses a Latin font, so other scripts would print as broken characters. If a field has such characters, the tool tells you which field and stops. Excel accepts any script. Export documents are usually written in English, but check what your buyer asks for.
- Do I enter the invoice and packing list separately? No. You enter everything once and all three documents come from the same data, so descriptions and quantities can’t drift apart. Switch the document type and download each one.
- How should I write decimals and thousands? Use a point for decimals and commas for thousands (1,234.50). A decimal comma such as 12,5 is blocked because it could make an amount ten times too large. A quantity or price such as 1.000 could mean one or one thousand, so the tool asks you to rewrite it. A comma followed by three digits, like 5,125, is read as thousands (5125). For a decimal, write 5.1250.
- Can I edit the Excel file? Yes. Numbers go into number cells. Totals are calculated values rather than formulas, because formula totals can show as 0 in some viewers. If you change a number in Excel, update the total and the amount in words too.
- Does it work on a phone? Yes, though some in-app browsers block file downloads. If nothing happens when you tap the button, open this page in Chrome or Safari.
