Follow-up email planner: how many, how often, which dates
Pick the buyer’s country and the day of your first email, and see how many emails to send in all, how many days apart and on which dates, based on real reply records. Weekends and public holidays are skipped, and each send is set for 9 a.m. the buyer’s time.
We counted replies to export sales emails sent through RINDA by which email in the sequence they answered (anonymous aggregate, human replies only). Follow-ups continue only while a step still earns at least a third of the first email’s reply rate. The gap is the number of days by which almost all replies have arrived. Each send day is the first working day after that gap. Weekends (plus Fridays where the weekend is Friday and Saturday), Korean public holidays and the year-end break (19 December to 3 January) are skipped. For the buyer’s country, all public holidays are included only for the US (federal holidays when offices close) and Hong Kong (government holidays); for China only the National Day week, and for Japan only Golden Week. The time is 9 a.m. in the country’s main time zone.
- Won’t more emails get more replies? A few more, but they drop fast. As the chart above shows, after a few emails the replies per 10,000 emails fall below a third of the first email’s. A first email to a new buyer earns more replies than another email to the same one.
- Why wait several days between emails? Most replies arrive on the day the email is sent, and almost all within the gap shown above. If nothing has come back by then, that email is unlikely to get an answer, so it is time for the next one.
- Why the buyer’s morning? Because most replies come the same day, the email should sit near the top of the inbox when the buyer starts work. Sending from Korea to the US or Europe, use your mailbox’s scheduled send so you don’t have to stay up at night.
- Does TradeGraph send the emails? No. TradeGraph never sends email. It tells you how many to send and when. Send from your own mailbox, or use a sending tool such as RINDA to send the sequence automatically.
